DYNOMATIK PRIVACY NOTICE

8th October 2026

This notice explains what we do with personal information about you. We are Dynomatik Limited, a company registered in England and Wales with company number 13602267. You can reach us at privacy@dynomatik.com.

1. The most important thing to understand first

There are two different situations, and which one applies changes who you should talk to about your information.

1.1 When we are responsible. If you have a Dynomatik account, we decide how we use the information about your account, your profile and your connections. We are responsible for it, this notice explains what we do, and you can exercise your rights directly with us.

1.2 When an organisation is responsible. An organisation, such as your employer, a team or an event organiser, may have its own workspace on our platform. Information they put into their workspace is theirs, not ours. They decide what happens to it and we simply act on their instructions. This notice does not cover that information, and if you want to see it, correct it or have it deleted, you need to ask that organisation, not us. Their own privacy notice will explain what they do.

The same details about you can appear in both places at once. That is normal, and it does not mean anything has gone wrong.

2. If you received an invitation from us

If we emailed you inviting you to join an organisation, that organisation gave us your contact details and asked us to send the invitation on its behalf. We did not choose to contact you and we did not obtain your details ourselves. The organisation is responsible for holding your details and for deciding to invite you, so please contact them with any questions about that. You can decline the invitation, and we will not send you further invitations for that organisation.

3. What we hold about you

If you have a Dynomatik account: your name, email address and any other contact details you give us; your profile information, including anything you choose to add such as a photograph, role or biography; your login and authentication records; your connections with other members; the organisations you belong to; your settings and preferences; and records of your use of the service, including device and log information.

If you visit our website: your IP address, browser and device information, and information collected through cookies where you have agreed to them.

If you are a business contact: your name, job title, employer, business contact details, and records of our correspondence with you.

We do not ask for or want special category information, such as health, race, religion, political opinions, trade union membership, sex life or sexual orientation, biometric or genetic data. Please do not put it in your profile.

4. Why we use it, and our legal basis

The law requires us to have a legal basis for using your information. Ours are set out below.

What we do

Legal basis

Why

Create and run your account, and provide the features you use

Performing our contract with you

We cannot give you an account without doing this.

Let you connect with other members and manage your organisation memberships

Performing our contract with you

These are the things your account is for.

Keep the service secure, prevent fraud and misuse, and investigate problems

Our legitimate interests

We have an interest in protecting our members and our platform, and you benefit from that protection.

Understand how the service is used, fix faults and improve it

Our legitimate interests

We have an interest in running a service that works well. We use aggregated information wherever we can.

Contact you about your account, and about changes to the service or these terms

Performing our contract with you

You need to know about things that affect your account. You cannot opt out of these messages while you have an account.

Send you marketing about our products

Your consent, or our legitimate interests where the law allows

You can opt out at any time and we will stop.

Keep records, deal with disputes, and comply with the law

Our legal obligations, and our legitimate interests

We sometimes have to keep information, or need it to defend a claim.

Contact business contacts at current or prospective customers

Our legitimate interests

We have an interest in reaching the right people at organisations that may want our service. You can object at any time.

Where we rely on legitimate interests, we have weighed our interests against your rights and have concluded that our use does not override them. You can ask us for more detail about that assessment, and you can object. See "Your rights" below.

5. Connections

A connection is a link between you and another member, and it only exists because you both agreed to it. That means it is information about both of you.

Because of this, a connection carries on even if you leave an organisation, and even if the organisation that first brought you together stops using our platform. Either of you can remove the connection at any time. If you close your account, your connections are removed.

6. Who we share it with

6.1 Organisations you belong to. While you are a member of an organisation, that organisation can see your membership, the role it has given you, and what you do in its workspace. It cannot see your activity in other organisations, and we will not tell it which other organisations you belong to.

6.2 Other members. Members you connect with can see your profile and contact you. Other members may be able to see limited profile information depending on your settings.

6.3 Our suppliers. We use other companies to host, secure, support and operate the service. They act on our instructions and cannot use your information for their own purposes. Our current list is published at dynomatik.com.

6.4 Authorities and advisers. We may share information where the law requires it, or to establish, exercise or defend legal claims, including with our professional advisers.

6.5 If our business changes hands. If we sell or reorganise our business, information may transfer to the buyer, who would be bound by this notice or one no less protective.

We do not sell your personal information.

7. Sending information outside the UK

Some of our suppliers are based outside the United Kingdom. Where that happens, we make sure the transfer is protected, either because the country has been formally recognised as providing adequate protection, or by putting in place approved contract terms such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with an assessment of the risks. You can ask us for details.

8. How long we keep it

8.1 Your account information is kept for as long as your account is open. When you close it, we delete your account information, except anything we have to keep by law or need for a short period to deal with security, fraud or a dispute.

8.2 Log and security records are kept for up to twelve (12) months.

8.3 Records we need for legal or accounting reasons are kept for as long as the law requires, usually six (6) years.

8.4 Information inside an organisation’s workspace is kept for as long as that organisation tells us to, and is deleted when that organisation’s agreement with us ends.

9. Your rights

You have the right to:

9.1 ask for a copy of the information we hold about you;

9.2 have inaccurate information corrected;

9.3 ask us to delete your information, in some circumstances;

9.4 ask us to restrict how we use it, in some circumstances;

9.5 receive information you gave us in a portable format, or have it sent to someone else;

9.6 object to us using your information where we rely on legitimate interests, including for marketing, in which case we will stop unless we have compelling grounds to continue; and

9.7 withdraw your consent at any time, where we rely on consent. Withdrawing it does not affect anything we did beforehand.

To use any of these rights, email privacy@dynomatik.com. We will respond within one month, and it is free. If your request is about information in an organisation’s workspace, we will tell you and point you to that organisation.

10. Automated decisions

We do not make decisions about you by automated means that produce legal effects or similarly significantly affect you.

11. Children

Dynomatik accounts are for people aged 18 and over. We do not knowingly create accounts for anyone younger. If you think a child has an account with us, please tell us and we will remove it.

12. Cookies

We use cookies and similar technologies on our website and in the service. We only set cookies that are not strictly necessary if you have agreed to them, and you can change your choices at any time. Our cookie policy at dynomatik.com explains what each one does.

13. Keeping your information safe

We use appropriate technical and organisational measures to protect your information, including encryption, access controls, multi-factor authentication for administrative access, logging and monitoring. No system is completely secure, but if something goes wrong that puts you at high risk, we will tell you.

14. Changes to this notice

We may update this notice. If a change materially affects you, we will tell you before it takes effect. The date at the top shows when we last updated it, and we keep previous versions available on request.

15. Contacting us, and complaining

If you have a question or a concern, email privacy@dynomatik.com and we will try to sort it out.

You can also complain to the Information Commissioner’s Office, which regulates data protection in the UK. Visit ico.org.uk or call 0303 123 1113. We would rather you came to us first so we have the chance to put things right, but you do not have to.

If you live in the European Economic Area, you can complain to the supervisory authority in the country where you live or work.
