Dynomatik Members Terms

Version 1.3 · Last updated 15 October 2026

DYNOMATIK MEMBER TERMS

Effective 15th October, 2026

These terms are an agreement between you and Dynomatik Limited, a company registered in England and Wales with company number 13602267 (we, us, our). They apply when you create and use a Dynomatik account.

Please read them. They explain what your account lets you do, what we expect from you, and what you can expect from us. If there is anything you do not understand, contact us at members@dynomatik.com before you create your account.

1. Your account and your organisations

1.1 Your account is yours. You create your Dynomatik account in your own name and it belongs to you. It is separate from any organisation you join.

1.2 Organisations are separate. An organisation is a workspace on our platform belonging to a company or other body that has its own agreement with us (including a body that uses the platform for the benefit of a client or sponsor). Your employer, a team, or an event organiser might have one. Joining an organisation does not give that organisation your account, and leaving one does not close your account.

1.3 This matters most when things end. If you leave an organisation, or if an organisation stops using our platform, your account stays open. You keep your profile and your connections. What you lose is access to that organisation and the material inside it.

2. Creating an account

2.1 You must be 18 or over to have an account. If you are under 18, you cannot create one, although you may still be included in an organisation’s records by that organisation.

2.2 You may hold one account. It must be in your own name, and the information you give us must be accurate and kept up to date.

2.3 You can create an account whether or not an organisation has invited you.

2.4 Keep your login details secret. Do not share them, and do not let anyone else use your account. If you think someone else has got into your account, tell us straight away at members@dynomatik.com

2.5 You are responsible for what happens through your account, unless someone else used it without your knowledge and it was not your fault.

3. What your account lets you do

3.1 Your account lets you set up a profile, connect with other members, and join organisations that invite you. What you can do inside a particular organisation depends on the role that organisation gives you.

3.2 We may add, change or remove features. If we remove something you rely on, we will tell you beforehand where we reasonably can.

4. Joining and leaving an organisation

4.1 Joining is your choice. You do not have to accept an invitation. If you decline, the organisation can still hold your details in its own records, but you will not have an account-based link to it.

4.2 What the organisation can see. While you are a member of an organisation, that organisation can see your membership, the role it has given you, and what you do inside its workspace. It cannot see your activity in any other organisation, and we will not tell it which other organisations you belong to. An organisation may allow its client or sponsor to see its workspace and what is in it, which includes your membership, your role and what you do there. Where it does, that organisation is responsible for that access.

4.3 What the organisation can do. An organisation can change your role or remove you from its workspace at any time. That is a matter between you and that organisation. We follow its instructions about its own workspace, and we cannot overrule them.

4.4 Leaving. You can leave an organisation at any time from your account settings.

4.5 Material inside an organisation. Anything you create or upload inside an organisation’s workspace belongs to that organisation’s space, not to your account. If you leave, or if the organisation closes its account with us, that material goes with it and we may not be able to give you a copy. If you want to keep something, save your own copy while you still have access.

5. Connections

5.1 A connection is a mutual link between you and another member. It only exists if you both agree to it.

5.2 Connections are not tied to an organisation. If you first connected with someone while you were both members of the same organisation, your connection carries on afterwards, even if one or both of you leave, and even if the organisation stops using our platform. That is because the connection belongs to both of you, not to the organisation.

5.3 Either of you can remove a connection at any time.

6. Your Vault

6.1 What the Vault is. The Vault is a private area of your account where you can keep personal details and documents, for example your passport details, your contact details, your travel information and your dietary requirements, so that you can give them to an organisation when you need to.

6.2 Only your own details, and they must be genuine. Only put your own details and documents in the Vault. Do not upload anyone else’s. By adding something to your Vault you confirm that it relates to you, that it is genuine, and that it is accurate so far as you know.

6.3 Nothing leaves your Vault unless you send it. We do not show anything in your Vault to anyone unless you tell us to. Agreeing to these terms does not give us permission to share your Vault with any organisation, and it never will. Permission to share is something you give separately, in the app.

6.4 Dietary information is optional and needs your separate consent. You can add your dietary requirements to your Vault if you want to. We will ask for your explicit consent in the app when you add them, and we will use them only to keep them for you and to share them with an organisation you have approved. We do not use them for marketing or to train or improve any product. Your consent is separate from accepting these terms and from approving any organisation, and you can withdraw it and delete the information at any time.

6.5 You approve each organisation on its own. When you want an organisation to see something in your Vault, you approve that organisation separately and you choose what it can see. Approving one organisation gives no other organisation access, and we will ask you again each time.

6.6 You can stop sharing whenever you like. You can withdraw your approval for any organisation at any time, from your Vault. It is as easy to withdraw as it was to give, and you do not need to give a reason. From that point we stop showing your details to that organisation. You can also delete anything in your Vault, including your dietary requirements, at any time, and we will stop using it.

6.7 Stopping does not undo what has already happened. This one matters. An organisation that has already seen or downloaded your details may still hold its own copy on its own systems. We cannot reach into an organisation’s records and delete it. If you want that copy removed, ask the organisation directly, and our privacy notice explains the rights you have against them.

6.8 The organisation is responsible for its own copy. Once we have shared something with an organisation at your request, that organisation decides what it does with it and is responsible for it under data protection law. It must tell you what it holds about you and why. If what you share includes your dietary requirements, the organisation must have its own legal reason for holding them and may use them only for the purpose you approved. If the organisation makes your details available to its client or sponsor, the organisation is responsible for that, must have its own legal reason for doing so, and must tell you about it.

6.9 We do not check your documents. We keep and pass on what you give us. We do not verify that a document is genuine, valid or current, and an organisation should not treat our sharing it as confirmation that we have checked it. If an organisation needs to verify your identity, that is a matter for them. We also do not check that dietary or allergy information is complete or up to date. If you have a serious allergy, please also tell the organiser or caterer directly.

6.10 Keeping your Vault safe. We encrypt what you keep in the Vault, both while it is being sent and while we hold it, and we limit who can reach it. The section below on keeping your information safe applies to your Vault in the same way as it does to the rest of your account.

7. Your content

7.1 You keep ownership. Anything you post, upload or create stays yours.

7.2 You give us permission to use it to run the service. So that we can host and display your content and make it visible to the people you have chosen to share it with, you give us a licence to store, copy, transmit and display it. That licence lasts only as long as we need it to provide the service, and it does not let us do anything else with your content.

7.3 We will not use your content to train artificial intelligence models, other than models that operate solely within the service for your own benefit.

7.4 You must have the right to post whatever you post, and it must not break the law or infringe anyone else’s rights.

8. Things you must not do

You must not:

8.1 post anything unlawful, dishonest, threatening, harassing, discriminatory, or that infringes someone else’s rights;

8.2 pretend to be someone else, or misrepresent who you work for or what your role is;

8.3 use the service to send spam or unwanted marketing;

8.4 collect other members’ details by scraping, automated means, or any other method we have not provided for;

8.5 try to get into parts of the service you are not entitled to see, or test or get around our security;

8.6 copy, reverse engineer or try to extract the workings of our platform, except where the law says you may; or

8.7 interfere with the service or with anyone else’s use of it.

9. Our platform

9.1 We own the platform, the software behind it, and everything in it apart from content that belongs to you, to other members, or to organisations. Nothing in these terms gives you any ownership of it.

9.2 If you send us suggestions or feedback, we may use them freely and without paying you. We are not obliged to act on them.

10. Your privacy

10.1 We explain what personal data we hold about you, why, and what your rights are, in our privacy notice at raceprox.com.

10.2 We are responsible for your account data. We decide how we use the information relating to your account, your profile, your Vault and your connections, and you can exercise your data protection rights directly with us.

10.3 Organisations are responsible for their own workspaces. Where an organisation holds information about you in its workspace, that organisation decides how it is used and you should contact it about that information. We act on its instructions in relation to its workspace. This includes dietary requirements you enter directly into an organisation’s workspace, which form part of that organisation’s records and are not part of your Vault. This includes any access the organisation gives to its client or sponsor.

11. Cost

11.1 Your account is free. Your Dynomatik account is free to use. You do not pay us anything for it, and you do not have to buy anything in order to use it.

11.2 We intend to keep a free account available. We currently intend to continue offering a free account. If that ever changes, we will give you at least sixty (60) days’ notice, and you will be able to close your account at any time before the change takes effect without paying anything.

11.3 Paid upgrades are optional. We may introduce paid features or paid plans as optional upgrades. You will never be moved onto a paid plan automatically, and you will never be charged for anything you have not chosen and agreed to. If you decide not to take an upgrade, you can carry on using your free account.

11.4 If you take a paid upgrade. We will tell you the price, what you get, how long it lasts and how to cancel before you commit. Additional terms will apply to that upgrade, covering payment, renewal and cancellation, and we will show them to you at the time. Those terms will not reduce your rights under these terms in respect of the free parts of your account.

12. Availability

12.1 We will use reasonable care and skill to keep the service running, but we do not promise it will always be available or free of faults. We may need to take it down for maintenance, and we will give notice where we reasonably can.

12.2 We may suspend or restrict access if we reasonably believe there is a security risk, or that someone is breaking these terms, or if the law requires us to.

13. Keeping your information safe

13.1 How we protect your information. We follow industry security best practices. Your information is encrypted in transit and at rest, and anything you keep in your Vault is additionally encrypted using industry standard encryption. Administrative access requires multi-factor authentication and actions are logged. We monitor for unauthorised activity, apply security updates, and test our systems regularly.

13.2 If something goes wrong. If there is a security incident affecting your information which puts you at high risk, we will tell you without undue delay and explain what you can do about it.

14. Closing your account

14.1 You can close your account at any time, from your account settings or by emailing us. You do not need to give a reason.

14.2 We may close or suspend your account if you seriously or repeatedly break these terms, if we are required to by law, or if we stop offering the service. Unless the law prevents us or the circumstances are urgent, we will tell you first and give you a chance to put things right.

14.3 If we stop offering the service altogether, we will give you at least thirty (30) days’ notice so you can download anything you want to keep.

14.4 What happens when your account closes. Your profile and connections are removed, and your Vault and everything in it is deleted. Organisations that already hold copies of anything you shared with them keep their own copies, and you should contact them about those. We delete your account data, except anything we have to keep by law or need to keep for a short period for security, fraud prevention or to resolve a dispute. Material you created inside an organisation’s workspace stays with that organisation.

15. Our responsibility to you

15.1 What we do not limit. We do not exclude or limit our responsibility to you for death or personal injury caused by our negligence, for fraud, or for anything else that the law does not allow us to exclude or limit. Nothing in these terms affects your legal rights as a consumer.

15.2 What we are responsible for. If we fail to meet these terms, we are responsible for loss or damage you suffer that is a foreseeable result of that failure. Loss or damage is foreseeable if it is obvious that it will happen, or if we both knew it might happen when you created your account.

15.3 What we are not responsible for. We are not responsible for loss or damage that was not foreseeable, or that was not caused by our failure to meet these terms. We are not responsible for anything an organisation does or fails to do in its own workspace, or for the acts of other members.

15.4 Personal use only. Your account is provided for your own personal and professional use as an individual. If you use it for a business purpose, we are not responsible for loss of profit, loss of business, business interruption or loss of business opportunity.

16. Changes to these terms

16.1 We may change these terms, for example to reflect changes to the service or to the law.

16.2 If a change affects you and is not in your favour, we will give you at least thirty (30) days’ notice before it takes effect. If you do not want to accept it, you can close your account at any time before then, at no cost.

16.3 We may make changes that are required by law with immediate effect, and will tell you as soon as we can.

17. Other things you should know

17.1 These terms are between you and us. You cannot transfer your account or your rights under these terms to anyone else. We may transfer our rights and obligations to another business, and if we do, we will tell you, and it will not affect your rights.

17.2 If part of these terms cannot be enforced, the rest continue to apply.

17.3 If we do not enforce something straight away, that does not mean we have given up the right to do so later.

17.4 Complaints. If something goes wrong, please contact us at members@dynomatik.com and we will try to sort it out.

17.5 Which law applies. These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can bring proceedings in your own courts, and if you live outside the United Kingdom, you keep the benefit of any consumer protection rules that apply where you live, and you can bring proceedings there.
